POSITION OVERVIEW

The Administrative Assistant will provide key support to the Sales Operations team by handling a variety of essential tasks. This role requires a highly motivated, proactive, and well-organized individual who is also an effective collaborator. The ideal candidate should have a strong sense of initiative, a professional demeanor, and a strategic partner mindset. This position will involve representing the department and company with integrity and professionalism, leveraging all available resources to ensure seamless support.

RESPONSIBILITIES

· Manage relationships with multiple supply chain suppliers
· Oversee an assigned portfolio of clients and suppliers
· Perform routine tasks to support sales operations, including:
· Organizing files
· Data entry
· Serving as the first point of contact for external communications
· Collaborate with administrative personnel to support departmental objectives
· Provide desk coverage for Dedicated Admins in their absence
· Offer general administrative support to Dedicated Admins and Managers, including:
  - Data entry
  - Conducting research
  - Coordinating meetings and events
  - Scanning and printing documents
  - Refining PowerPoint presentations
  - Managing office supplies
  - Assist management with hands-on tasks as needed
  - Apply technical expertise to streamline and improve administrative tasks
  - Take ownership of long-term projects
  -  Complete special projects and tasks as assigned

QUALIFICATIONS

To succeed in this role, the candidate must demonstrate the ability to perform essential duties effectively. Due to the small team size and job nature, consistent attendance is critical.

· Proficiency in Microsoft Office products
· Associate degree and a minimum of 2 years of administrative experience, or equivalent education and experience
· Fluency in English (spoken and written)
· Strong judgment, ability to handle confidential materials, and professional demeanor
· Ability to write reports and business correspondence
· Valid driver’s license, personal vehicle, and a clean driving record
· Proficiency in basic math, including the ability to manage data and create/interpret spreadsheets, charts, and graphs
· Proven ability to meet deadlines consistently
· Familiarity with phones, email, fax, Microsoft Office, Adobe, and other job-specific computer programs
· Ability to adapt to different tasks and work well with diverse personalities in a fast-paced environment

Job Type: Full-time

Pay: $43,000 - $46,000 per year

    8 hour shift Monday through Friday

Ability to commute/relocate:

    Chicago, IL 60609: Reliably commute is required

Experience:

    Customer service: 3 years (Preferred)

License/Certification:

    Driver's License (Required)
